The meeting began at 10:00 with the introduction to the topics to be covered by Jorge. The importance of the review in Brussels due to the go / no go was the main topic of all the meeting in Paris.
Concerning the review, several issues raised through the Recommendations Report was pointed out during the meeting; these issues were:
Local support definition
Business Plan
Social Networks
Communication
Indicators
Demo
This topic covered the following recommendation:
In the set-up of pilots, even though the Pilot Partners Team has been established, the coordination and implementation of regional pilots requires too much involvement from the coordinator (Aliad), and could raise unnecessary challenges during the implementation. The consortium should address with high priority the local support required for the regional pilots. Need for “commitment” of partners responsible for the pilots in every single country: the Coordinator of the Consortium needs a more formal commitment from local partners in order to be guarantee a smooth implementation phase.
This was the main point of discussion during the meeting. The Commission is waiting for more commitment by local partners for the pilot´s deployment in each region.
In order to ensure this information, the Coordinator, Áliad, requested from each partner a single document explaining the work done during the project with allied entities, the work to be done during the next months, the definition of levels 1 and 2 of each partner, the subcontracting activities in the case there is budget for that and all the minutes of the meetings with the allied entities.
All partners agreed with this formula.
Related with the recommendation:
The consortium should immediately start preparing business models for the services in each region. One necessary step is finding potential future service providers (e.g. telecom providers) in order to assure the necessary impact and sustainability of the project’s outcomes. These future service providers will have their own constraints and requirements for these services. It should be analysed if and how these requirements can be taken into consideration for the design of the regional pilot services.
In order to comply with this recommendation, Áliad proposed the elaboration of a preliminary document with the ideas of the consortium. Cristiana from Gruppo Sigla prepared a structured document with the points to be covered. This document will be submitted to the Commission during the Review in Brussels.
Related with the recommendation:
Indicators related to the project’s website’s impact shall be provided at the next review (e.g. number of entities that have contacted the project through the website, the use of social networks and respective measures, e.g. linked-in contacts, Facebook number of friends, likes etc.).
Despite Áliad has covered social media dissemination with one person dedicated to the project, it was agreed the importance of increasing the number of followers in social networks. Áliad requested all partners to share the networks among all their members and clients.
Concerning these ideas, Alessandro proposed different possibilities, publicity, access to free courses but priced certificates, advertising, etc. The Ecosystem should be free in order to attract users on it. Based on the calculations of Alessandro, the yearly revenue of the whole Ecosystem would be only of 38.000 euros.
Related with the recommendation:
More dissemination among European official bodies is required. Cross- fertilization with related European projects/programmes should be addressed. There several points of contact with other EU funded programs (for example on key topics such as Digital competences, E-inclusion, E-facilitator) that should be sought in the incoming period through workshops, conferences and events with the support of Dg Connect.
Despite Áliad has reinforced the efforts in dissemination, it is needed to provide to the Commission a single document for explain the Commission all the efforts done by the partners in communication. In addition, cross-fertilization it’s needed, so this document will contain the contacts of partners with other projects.
Related with the recommendation:
Better measures for success and more precise sets of indicators are requested. One overall objective is related to a change in participant behaviour, but most suggested indicators do not measure that.
In order to comply with this requirement, Aliad requested the participation of partners in order to elaborate a preliminary document with a list of indicators.
Related with the recommendation:
For the next review, use cases shall be fully developed. Three demos focusing on each category of services / each target group should be given:
Need data and contents for the app (e.g. geography, monuments, associations) – give information about the data they need to prepare (each country).
Methodology – previous review of the deliverables from all partners.
Each country should have a specific e-mail address for support (pilots).
Possibility to Allied Entities for publishing own contents in each country (blog).
Access to the blog to all partners, to update and translate info.
Need to know how many time do they have to train the trainers
Need to Change website address in the website of the project
Who is going to be allowed to write in the blog? Now it is only for dissemination.
Link to all social networks (Facebook, LinkedIn…)
Add previous events to the website/ ecosystem.
Open the platform to allied entities – they can include events and info (involvements).
Subtitles in the SEACW spot.
More interactions with the standard social media, throughout the platform (possibility to share).
Make the social part common to all languages (interaction between countries).
AE’s recognition on the website, platform (those who contribute).
Include 2 AE from VICs – with a support letter (hospital clinic, fundació dels amics de la gent gran)
Define a procedure on how to publish a conference, congresses, seminars…
Pilots success are key for the project. Despite the methodology is clear, during next weeks processes and aligned methodologies will be provided from Aliad to all partners.
Catalogue of products and services, dossier of pilots and DEMO will help to disseminate the products offered by SEACW to Allied Entities. From now on, it is needed to work close with them in accordance with the approved schedule in Deliverable 1.8.
In addition, for next review in Brussels will be needed to ask for an extension of the pilots execution because of the summer period. October will be requested, with the possibility of adding a part of November.
Translations for catalogue of products and services and pilots dossier will be needed with the collaboration of partners involved in the project.
It is quite important to work together during pilot´s plan. The elaboration of local support from each partner it’s quite important to ensure the Commission one of the main critical points of the project. Despite Áliad, Gruppo Sigla and E-Seniors have prepared minutes, there is no other information from other partners with participation in WP7. Of course, NIB is contacting some possible subcontractors for pilots deployment in Bulgaria, but the coordinator needs information about the process in other regions from France and specially in Malta.
Due to the Commission´s recommendation of concentrating pilots in 4-5 regions there is a possibility to exclude pilots in UK, Portugal and Malta. These possibility implies that three main partners in WP7 would increase the number of users at the next level:
Áliad in Spain: 5000 users
Gruppo Sigla in Italy: 3500 users
E-Seniors in France: 3500 users.
This plan implies an amendment with the Commission and costs changes in WP7 that must be further discussed among partners; however, it must be considered that with this plan 12.000 users would be ensured in an easier way.
