SEACW, Executive board, 8th of July 2013

 

 

Deliverable n° 2.1, 2.2, 2.3, 7.1, 8.3 & 8.4 are done and available on Google drive.

What has been done by Aliad since the beginning of the project:

-         The pilot work team & the quality commission have been initiated

-         Allied entities were contacted

-         New PO (Horst Kraemer/Paul Kundycki)

-         Methodology to make the project’s effort change

-         More than 10 personalities and experts have been selected for the advisory council

-         E-learning tools are in deep review

-         The website had been improved: www.seacw.org

-         The project has now some groups on Facebook, Twitter and LinkedIn

-         We have now hundred of contacts

-         Several events had been performed

-         Notable dissemination done (27 press released, 2 interviews)

-         Aliad has now more expertise managing with EU officers.

A list of events to disseminate will be upload on drive, all partners are invited to fill it.

Issues and suggestions:

-         The consortium had few communication problems

-         Some image protocols have failed (wrong logo of ICT PSP)

-         PO’s late arrival delayed the communication with the European commission so:

a)      Efforts changes have taken longer time

b)      PO is not familiar with certain aspects of the project

-         The strategy and how to establish contact with some allied entities are still not clear with some partners.

We have discussed about what is an ecosystem: basically, it is a place where anyone can upload his/her application. We need to know exactly what is SEACW to contact allied identities so Aliad will create a project’s presentation and some mockups of SEACW. Actually, the current version presenting the project which is available online is too detailed.

 

What do we need to improve:

-         The mailing list system have failed : UTT suggested to have only too lists: one for everyone in the consortium and one for the coordinating team.

-         Google drive hasn’t been used adequately

-         We need to solve problems with the excel methodology sheet

-         Asana has worked properly

-         Partners need to improve their DoW knowledge

-         Maybe partners didn’t have enough confidence to make some suggestions.

It has been decided that once a month we are going to have a teleconference.
Next one : 22nd of July at 4pm and then the 6th of September at 12.

Regarding mailing list, Aliad is taking care of writing a quality procedure for emails.

Definition of an ecosystem: Cf SOTA p.76 = complex set of relationships among the living resources, habitants & residents of an area. An ecosystem is a meeting point, a self-organizing system. Everybody should be able to modify it. The objective of SEACW is to solve a social problem using ICT. An ecosystem is an infrastructure where people can add some applications.

Need to clarify the target public. For instance, what is the difference between social inclusion agent and the general population? A questionnaire will be available while creating a profile to help us to classify users in different categories (SIA, general & elders)

Elders = 60+

SEACW should promote intergenerational solidarity.

The added value of the project is the ecosystem, which is an interconnected system. It is a living organism which permits customization.

Regarding pilots:

Online classes put some will be in classrooms & training.

1000 users per region divided in 3 = 333 elders, 333 social inclusion agents and 333 general citizens. We have to try to mix genders but it might be difficult for elders since women live longer than men.

Pilots will occur from April to October 2014 (M15 to M21). We will start to count users as soon as the system is ready.

Evaluation: the objective is to identify which are the more required content. Content will be available at M7 or M8. Allied entities will be able to upload some contents. Focus groups with the 3 categories of users might be useful to evaluate.

Aliad is in charge of the help desk.

We should prefer “active aging” rather than “anti-aging”.

 

What we need to succeed?

-         Get in contact with all the allied entities and get a commitment from them

-         Enforce communication between pilot partners team to fallow up the work done

-         Create a table with the number of users per region/ allied entities

Next steps:

-         We need a positive evaluation from the project officer regarding D7.1

-         Need new compromises from allied entities

-         Search new allied entities

-         Define activities

-         Create a table with potential users

-         Create a registration system

-         Define what an user is: ex: person who participate in a session

-         Do the translation of the contents for the pilots

-         Develop a way to protect the users’ security

Delphi will be submitted to social inclusion agents & elders

Justification & Reporting

 

Reporting period every 6 months.

We have to fulfill the use of resources & explanation of the use of resources.

Ever partner have his own responsibility on the information provided to the commission. Alia is up to help if needed. Javier is sending the reporting guideline + template asap.

Next steps

 

-         SOTA: updates

-         Delphi & surveys: 350 surveys for elderlies (online & paper) & 350 for SIA (online), Delphi: at least 50 participants = deadline : 4th of November

-         Deliverables:  D2.4: functional requirement report (2,8MM for ESE)

-         For the 6 months coming: technology will be completed & content in an advanced phase

-         CM in December 2013: we don’t know where (June 2014 in Paris)

 

 

TO DO:

-         Send to Aliad our own justification (effort & cost) for the first semester : 26th of July

 

Discussion pilots:

 

-         Pilots in Champagne: UTT in charge of the pilots only 7PM, GIP doesn’t have any PM. ESE has 39,2PM. Possible to sell some PM? Might be a solution. Definition of GIP competences to justify the transfer.

-         Users disseminated in several regions instead of having the whole 1000 in Aquitaine. Difficult to change before the go/ no go decision.

-         Technical background will train us => we train allied entities => allied entities train users. Everything happens during the same month. Extension of the project implementation.

-         Certification: ECD foundation provides certified training in digital literacy => user will obtain the certificate. Examination: foundation has different headquarters in the different countries. How about people living in the countryside?  Aliad has already negotiated an European agreement. Going to be described in WP4 (M5-M14). Not an official answer before M8. Possibility to give a certificate to allied entities showing that they are able to teach SEACW?

-         About definition of end-user: if an user is someone participating in a session, what is a session? online session: no longer than 20 minutes. It is quite long for elderly. NEED A DEFINITION OF A USER!!! Technical partners have to think about what is the minimum requirement to be considered as a user
